On many events, the digital roadbook and GPS tracking live in two separate tools: one to draw the route and hand it to crews, the other to track positions and manage safety. The result is the same route entered twice, and two versions that can quietly drift apart. Here is what actually changes, on the organizing side, when the two are connected.
Two tools, one route
A digital roadbook is the electronic version of the road book: headings, distances and landmarks shown on a dedicated tablet instead of printed on a paper scroll. Its raw material is the stage route and the list of waypoints, built by the organization in the weeks before the start.
That same raw material, a route and its waypoints, is also what a GPS tracking platform needs to position speed-control zones, flag a crew that strays from the official course, or draw the stage track on race control’s map. When the roadbook and the tracking platform each rely on a separate import of the same file, every last-minute fix, a landmark moved, a liaison stretched longer, has to be applied twice. Miss one of the two, and the roadbook crews are reading no longer matches what race control sees.
What changes when the two talk to each other
When the same route file feeds both the roadbook and the tracking platform, several sources of friction disappear at once:
- One import, two uses. The route and waypoints are loaded once into the platform; they generate the crews’ roadbook and position the tracking platform’s control zones at the same time.
- Zone alerts sit on the real route. A speed limit through a village or near the bivouac gets set against the official track, not a zone redrawn by hand in a second tool.
- A deviation reads instantly. Race control sees a crew straying from the roadbook’s route, not an isolated point with no context on a blank map.
- Announcements can target a stretch of the route. An organizer message (a diversion, a restriction, a schedule change) can reach crews on a given sector, identified by the same waypoints as the roadbook.
What it changes at the preparation stage

Connecting the roadbook and the tracking platform does not add a step to that schedule, it removes one. Instead of exporting the route to a roadbook program on one side and re-importing it into the tracking platform on the other, a single entry feeds both, and a fix made two weeks before the start propagates automatically.

A concrete example: a liaison stretched ten days out
Take a common case: a track closed to traffic forces a ten-kilometer liaison to be rerouted, ten days before the start. With two separate tools, you edit the route in the roadbook software, regenerate the road books, then repeat the same edit in the tracking platform to move the affected speed-control zones: two operations, two chances to miss one the night before an already packed day.
With a shared route, the fix happens once: the new track immediately feeds both the roadbook handed to crews and the tracking platform’s control zones. Race control sees the same version of the route that crews are holding, with no second file to sync under pressure.
Paper or digital roadbook: GPS tracking does not settle the question
The choice between a paper and a digital roadbook depends on the event’s regulations and habits, not on the tracking setup. A crew navigating with a paper roadbook is still tracked normally by its GPS beacon: the route loaded into the platform then only serves the zone alerts and race control’s map, with nothing imposed on the crew’s side. Plenty of events keep a paper roadbook as a backup to the digital one anyway, and that changes nothing: GPS tracking relies on the official route whether the crew reads it off a scroll or a screen.
Limits worth knowing
- The roadbook is not a safety device. It is the GPS tracker, not the roadbook, that reports position to race control and triggers the SOS alert. The two functions stay distinct even when they share the same route; our article on race control covers what that position feeds into.
- File compatibility should be checked before picking tools. Routes and waypoints most often move as GPX or KML, but your roadbook software and tracking platform still need to read the same format without a manual conversion at every fix.
- A late fix is still a fix. Connecting the two tools removes the double entry, not the discipline: a route changed the night before the start still needs to be rechecked before crews leave.
