# Setting up GPS tracking for a rally raid: the complete checklist

The rally raid GPS tracking setup that works on race day was decided three months earlier. Organizing a rally raid means running the route, the entries, the logistics and the safety plan in parallel, and tracking touches all four. Here is the timeline checklist, from D-90 to the debrief, so your GPS beacons, your platform and your team are ready when the flag drops.

## D-90 to D-60: scope the need

Everything that goes wrong at the last minute gets decided here. Three months out, you still have a choice of hardware, providers and lead times.

- **Count everything that moves.** Competitors by category (bikes, quads, SSVs, cars, trucks), assistance vehicles, medical, opening and sweep cars, press, organization. The beacon count is based on that total: a medical vehicle invisible on the map is a hole in your safety plan.

## D-30: prepare the platform

One month before the start, the setup moves from paper to screen. Everything you configure now is work you will not be doing during race week, when your time goes to scrutineering and briefings.

- **Load the final routes**, stages and waypoints into the app. Crews will navigate on this data and race control will judge route deviations against it, so it has to be the definitive version.

- **Set up the white-label branding.** Event name, logo, colors: crews and spectators will open your app, not a supplier’s.

- **Define the speed-control zones.** Village crossings, road liaisons, the approaches to the bivouac: all sectors where the automatic alert must be configured before the event, not during it.

## D-7: test for real

Race week is not for discovering the hardware. It is for verifying that everything you prepared actually works, with enough margin left to fix what does not.

- **Receive and inventory the beacons.** Count, label, put everything on charge.

- **Assign each beacon to a vehicle number** in the platform. This mapping is what turns a stream of raw positions into a race you can actually read.

- **Walk-test a sample in real conditions.** A walk or a drive with a few beacons: are positions arriving? Are alerts firing?

- **Brief the race-control team** on the tool and the procedures: who handles an SOS, who calls whom, who decides.

- **Publish the public tracking link** to participants’ families and to the event’s partners.

- **Verify the crews’ side.** Event app installed, offline maps downloaded: this gets checked before the start, not in the middle of a stage with no signal.

## Race day and during the event

Once the race is running, the setup holds together through routine: the same checks, every day, at the same times.

- **Mount the beacons at administrative checks.** A defined mounting per category, and a photo of each mount: it cuts short any debate over damaged or lost hardware.

- **Check every beacon transmits before the start.** A silent beacon gets chased immediately, not once the vehicle is deep into the first sector.

- **Run the daily race-control rituals.** Start check, watching the tail of the race, stage closure with every vehicle either checked in at the finish or located.

- **Manage battery rotation at the bivouac.** Charging every evening, replacement based on observed battery life, spares ready to go, and one named person responsible for the rotation.

- **Log every alert and every intervention** with timestamps. That log is your record for insurers and the raw material for the debrief.

## After the finish: the part everyone skips

Once the event is over, the temptation is to pack everything up and sleep. Four things deserve to come first.

- **Remove and inventory the beacons before the vehicles disperse.** Chasing hardware once the crews are back home costs weeks and shipping fees.

- **Export and replay the tracks** for pending protests: a replay settles a disputed passage in minutes.

- **Debrief the setup.** Alerts by type, coverage gaps observed on the ground, spectator feedback on the public map.

- **Write down next year’s changes now**, not in eleven months. The list of pain points is fresh: it will not stay that way.
